This Privacy Policy explains how SEMS Cleaning Co., a trade name/DBA operated by SEMS Commerce LLC (“SEMS,” “we,” “us,” or “our”), collects, uses, stores, shares, and protects information related to customers, prospective customers, properties, bookings, payments, and service requests.
This Privacy Policy applies to customer-facing use of SEMS, including our website, booking forms, quote requests, payment links, communications, and cleaning-related services.
This Privacy Policy does not fully cover cleaner, contractor, applicant, or worker privacy practices. SEMS may provide a separate cleaner or contractor privacy notice.

2. Information We Collect
SEMS may collect information directly from you, automatically through our website or app, from service providers, from payment processors, from booking/calendar tools, or from communications related to your service.
A. Contact Information
We may collect:

- Business or property-management contact information, if applicable
B. Property and Service Information
We may collect information needed to quote, schedule, perform, document, and support cleaning services, including:

- Selected add-ons
- Guest Turnover details
- Deep Clean details
- Recurring service preferences

C. Access and Security Details
To complete services, SEMS may collect and store customer-provided access and property-entry information, including:

- Lockbox codes
- Gate codes

- Building, HOA, front desk, or concierge instructions

- Restricted areas
- Special entry instructions
Customers should provide only the access information necessary for SEMS to complete the service.
D. Booking, Calendar, and Turnover Information
If you provide booking or calendar information, SEMS may process:
- Property calendars
- iCal feeds
- Airbnb, VRBO, or similar booking dates
- Check-in and check-out times
- Turnover windows
- Listing names or property identifiers
- Reservation notes needed for cleaning
Customers should avoid sending unnecessary guest names, guest contact information, private guest messages, or sensitive guest information unless needed for the cleaning service.
E. Payment Information
SEMS uses third-party payment processors, such as Stripe, to process payments, payment links, invoices, saved payment methods, deposits, balances, approved add-ons, cancellation fees, no-access fees, and recurring charges.
SEMS does not store full card numbers.
SEMS may store or receive limited payment-related information, including:
- Stripe customer ID
- Stripe payment method ID
- Card brand
- Last four digits of the card
- Expiration month and year
- Payment status
- Transaction IDs
- Invoice records
- Receipt records
- Refund records
- Failed payment information
- Billing history
If you save a payment method for future use, that payment method is stored and processed through Stripe or another payment provider, not directly by SEMS as a full card number.
F. Job Photos, Damage Photos, and Metadata
SEMS and assigned cleaners may take and upload photos or other documentation before, during, and after service.
These may include:
- Before photos
- After photos
- Completion photos
- Access photos
- Damage photos
- Property-condition photos
- Photos documenting unsafe, excessive, or out-of-scope conditions
- Checklist-related photos
SEMS may intentionally retain original job, damage, access, before/after, and completion photos with metadata when available.
Photo metadata may include:
- Timestamp
- Upload time
- Device or camera metadata
- Property-related GPS or geolocation metadata
- Job/property association
- File metadata
These records help SEMS document service completion, property condition, quality control, access issues, damage reports, disputes, customer support, and business records.
G. Communications
SEMS may collect records of communications with customers, including:

- App or website messages
- Quote discussions
- Scheduling messages
- Payment issue messages
- Service concern messages
- Damage or property-condition reports
SEMS currently uses normal phone and text communications from the SEMS business number. If SEMS later uses a phone, SMS, or messaging service provider, that provider may process service-related communications.
H. Reviews, Feedback, and Testimonials
If you submit a review, testimonial, rating, survey response, or written feedback, SEMS may collect and use that information for service improvement, quality control, and marketing.
SEMS will not disclose private property access details, sensitive personal information, or private job photos without separate permission.
I. Website, App, Device, and Usage Information
When you use the SEMS website, app, booking forms, or payment flows, we or our service providers may collect:

SEMS does not currently use separate advertising cookies, Meta/Facebook Pixel, TikTok Pixel, Google Ads tracking, or similar marketing pixels unless added later.
K. Customer Accounts
SEMS does not currently require customers to create accounts or log into a customer portal.
Customers may submit booking or quote forms, communicate with SEMS, and pay through payment links or similar payment flows.
If SEMS later offers customer accounts or portals, we may collect account-related information such as login information, saved properties, booking history, quote history, invoice history, and account preferences.
3. How We Use Information
SEMS may use collected information to:
- Respond to quote requests
- Prepare estimates and work orders
- Schedule cleaning services
- Confirm property access
- Assign cleaners or service providers
- Complete Guest Turnover, Deep Clean, recurring, commercial, or other approved services
- Provide selected add-ons

SEMS may contact customers by text, phone, email, app notification, or other contact method for service-related reasons.

SEMS may send marketing or promotional messages only where permitted by law or with consent where required. Customers may opt out of marketing messages.
Opting out of marketing messages does not stop service-related messages needed to provide, bill, support, or document SEMS services.
5. How We Share Information
SEMS may share information only as needed to operate, provide, protect, improve, or support the business and services.
A. Assigned Cleaners and Service Providers
SEMS may share necessary property and service details with assigned cleaners, contractors, teams, subcontractors, or service providers so they can complete the job.
This may include:
- Property address
- Entry instructions
- Parking instructions
- Gate, lockbox, or access codes
- Pet notes
- Job checklist
- Service scope
- Relevant customer notes
- Photos or documentation needed for the job
Cleaners and assigned service providers should not receive unnecessary billing information, full payment details, or admin-only pricing notes.
B. Payment Providers
SEMS may share payment-related information with Stripe or another payment processor to process payments, store authorized payment methods, send invoices, issue receipts, process refunds, prevent fraud, and manage billing records.
C. Technology and Hosting Providers
SEMS may use service providers to host, secure, operate, store, and support the website, app, database, files, photos, communications, and business systems.
Current or planned service providers may include:
- Stripe for payments, saved payment methods, invoices, receipts, and transaction records
- Supabase for database, authentication, job records, customer records, and file/photo storage
- Netlify for website or app hosting
- Cloudflare for domain, DNS, security, performance, and traffic protection
- Resend for transactional or service-related email delivery, such as quote updates, booking confirmations, invoices, receipts, service notifications, and customer communications.
- Proton Mail or another business email provider for email communications
- Google Maps for maps, address, location, distance, and property-location functionality
SEMS does not currently list Google Fonts as a third-party service because SEMS fonts are self-hosted.
D. Google Maps and Location Tools
If SEMS uses Google Maps or related location tools, Google may process address, map, location, device, or usage information according to Google’s own terms and privacy practices.
SEMS may use map/location functionality for:
- Address lookup
- Service area evaluation
- Property location confirmation
- Distance or travel estimates

E. Legal, Safety, Payment, and Compliance Purposes
SEMS may disclose information when needed for:

SEMS does not sell customer personal information.
SEMS does not sell sensitive personal information, including:
- Property access details
- Payment metadata
- Precise geolocation information
- GPS/photo metadata
- Private job photos
- Damage photos
- Customer property notes
SEMS may share information with service providers, assigned cleaners, contractors, payment processors, hosting providers, security providers, map providers, and communication providers as needed to operate SEMS and provide services.
7. AI Tools and Automation
SEMS may use internal tools, automation, and service providers to operate the business, organize work, support customers, improve admin workflows, analyze support issues, review app bugs, or draft internal business communications.
SEMS does not intentionally use customer property access codes, payment information, or private job photos for AI training or public AI model training.
SEMS does not sell customer data for AI training.
8. Data Retention
SEMS may retain customer, property, payment, job, photo, and service records for up to 7 years, unless SEMS deletes them sooner or needs to keep them longer for legal, tax, accounting, insurance, dispute, chargeback, security, safety, fraud-prevention, or legitimate business-record purposes.

- Work orders
- Invoices
- Payment records
- Job checklists
- Customer messages
- Property notes
- Access instructions
- Before photos

Some information may remain in backups, logs, tax records, accounting records, payment records, or legal records even after a deletion request.

- Using security and performance protections through hosting and infrastructure providers
- Reviewing access and service needs for assigned cleaners or contractors
No website, app, database, payment system, email system, or transmission method is 100% secure. SEMS cannot guarantee absolute security.
Customers should avoid sending unnecessary sensitive information and should update property access codes when appropriate.
11. Third-Party Services and Links
SEMS may use third-party services to operate the website, app, payments, maps, storage, hosting, email, security, analytics, and service workflows.
Those third parties may have their own privacy policies, terms, security practices, and data practices.
SEMS is not responsible for the privacy practices of third-party websites, platforms, payment processors, map providers, email providers, or services that SEMS does not control.
12. Children’s Privacy
SEMS services, website, and app are not intended for children under 13.
SEMS does not knowingly collect personal information directly from children under 13. If SEMS learns that it has collected personal information directly from a child under 13 without appropriate consent, SEMS will take reasonable steps to delete that information.
13. Changes to This Privacy Policy
SEMS may update this Privacy Policy from time to time.
The version posted or provided at the time of use applies to that use. Continued use of SEMS services after an update means you accept the updated Privacy Policy.
